Venue Hire – Terms and Conditions

  • Music cut off time is 23h30, due to the residents in the surrounding area, please ensure guests leave quietly. All guests to please vacate the premises by 24h00 or an overtime rate will be charged @ R1000 per hour or part hour.
  • Venue hire does not include any room décor. Should you require room décor you may provide and set up your own. Decorating by Carl’s Catering Team will be at an additional charge of R3500 which will be added to your final invoice i.e. runners, chair covers, any table décor.
  • Time of access to the hall must be confirmed with management, but is typically 1 hour prior to the event. All clearing of decorations, flower arrangements, props etc. must be completed by 08h00am the following. If your function coordinator wishes to clear all equipment etc. after the end of the function they will be liable to pay the overtime charges stipulated above.
  • Microphone & speakers can be hired from us at R1000.
  • Screen can be hired at R300.
  • Clovelly Country Club or Carl’s Catering are not liable for any items left on the premises at anytime.
  • Any damages to club property will be charged directly to you.
  • Clovelly Country Club does not supply any electrical equipment such as plugs and extension leads.
  • Any outstanding amounts that may be recorded on the day of the event must be settled that same day with the Manager on Duty.

Section 2 – Bar Facilities

  • Bar facilities are available to your guests.
  • Corkage is set @ R35 per bottle of wine or champagne.
  • Please arrange all bar requirements at least 21 days prior to the function/event otherwise specific requirements may not be catered to.
  • All Bar arrangements to made directly with the Bar Manager – baradmin@clovelly.co.za or 021 784 2127.

Section 3 – Catering

All catering requirements must be made with our resident Caterer – Carl Welgemoed on  carlscatering@telkomsa.net or 021 782 2920

Please note that the price quoted is according to the agreed number of guests. Should the number decrease the price will go up.

Catering Terms & Conditions:

  •  A 50& non-refundable catering deposit is required to secure your booking.
  • A 12% service charge will be added to the final invoice.
  • The balance is to be paid 14 days prior to the function date. Failure to do so will indicate that the function has been cancelled.
  • Tables will be set with the relevant cutlery & crockery. All table layout requirements need to be agreed on at least 7 days prior to function in writing.
  • Carl’s Catering does not take receipt of or store ANY wines, cakes, snacks, flowers, decorations or any personal items. We do not loan out stationary, vases, crockery or cutlery for your use before or on the night. No additional snacks or beverages may be brought onto the premises unless through prior written agreement – This will only be agreed to if we are unable to cater to your needs.
  • Please note that we do not provide music facilities, extension leads, projectors, etc. Should you require any please provide your own, which must be in a safe condition.

Cancellation policy

  • Should the booking be cancelled less than 14 days prior to the date of the event a 100% cancellation fee of your total bill and venue hire will be applicable.
  • Booking will only be cancelled upon receipt of a written cancellation.
